One booking, one guest list
Start with the property or service, its total cost and the people it covers. Two apartments at different addresses are two bookings, even if one person reserves both. Keep each apartment’s guests and payment schedule attached to that booking. The same principle works for a transfer or shared ski lesson.
Agree the split before paying: equal shares, different room prices or another arrangement the people involved understand. The group accommodation guide helps with the room decisions; the ski-trip budget guide helps separate accommodation from the rest of the holiday.
The final payment is the amount left to pay
For an illustrative £1,200 apartment, a £300 deposit leaves a £900 final payment. Entering £1,200 as the final payment would count the deposit twice. Check the supplier’s confirmation and write down the due date for each amount: the balance might be due ten days before arrival, or on another date entirely.
For four guests sharing equally, the paid £300 deposit is £75 each. The unpaid £900 balance is a future commitment, not money someone has already advanced. Keep it in the booking schedule until it is actually paid. These examples are made-up amounts, not resort prices.
Mark a payment paid when the money has gone
When a deposit or final payment is made, record who paid it and mark that payment as paid. In Pistio., that paid booking payment is linked to expenses so it can appear in the group’s balances. A due date or a promise to pay should not be treated as a completed payment.
If Emma pays the deposit and James pays the balance, record each payer correctly. Use the linked payment expense rather than entering the same bill again as a separate expense. The guide to splitting ski-trip costs explains how advances and repayments affect what people owe.
Keep the reminder separate from the money
A task such as “pay the apartment balance” is useful, but completing a reminder and recording a real payment are different actions. Link the booking or payment to the task so the person doing it can find the details. Our shared-task guide explains how to keep the job and its expense together.
Review paid and unpaid amounts before departure, especially if room assignments change. Keep supplier refunds, amendments and cancellation terms with the booking confirmation. Pistio. records your group’s arrangements and balances; the booking and payments to the supplier are handled outside the app.
